To Display Schedule (Group/Week)
One week schedule of you, the group you selected and users belong to the group are displayed.
You can add, view and edit events. You can add, view and edit events.
* Some events are not displayed if you do not have the rights to access them.
* In "Personal Settings" - "Display Settings" or "System Management" - "General Settings" which only system administrators can use, "Group Schedule" option is not set to display, the group schedule is not displayed.

Users and groups that belong to the group you selected are displayed.
Press "Select Group" button to open Select Group/Private/Display Group window.

Change start date of schedule for one week.
The displayed button will depend on the "First day of the weekly calendar" setting in [Personal Settings > Display Settings] and [System Management > General Settings].
- When "Current Date" is selected, the following button is displayed.
: Schedule started one week before is displayed.
: Schedule started one day before is displayed.
: Schedule started today is displayed.
: Schedule started one day after is displayed.
: Schedule started one week after is displayed.
- When other than "Current Date" is selected, the following button is displayed.
: Schedule started one week before is displayed.
: Display the Schedule of one week starting with the day set in "First day of the weekly calendar".
: Schedule started one week after is displayed.

When you click the print link, a printable view is opened in a new window.
When you select the print menu, a printable view of schedule screen is displayed in a new window.
If you click Print (without frame), a printable view of schedule screen is displayed in text format.

Date and day of week is displayed.
When you press a link of the date, "Day" or "Group/Day" screen is displayed.

Schedule is displayed.
When you press an event, such as start date/time, end date/time, location, details, icons are displayed in a balloon.
When you press the link of Details of Event, the details screen is displayed.

In addition, you can display Update Event screen by pressing two times quickly over an area of the event displaying field.
* If you do not have the required permission, double click will move you to the details screen.

The user name is displayed.
When you press the link of the name, the user profile window is displayed.
* If a system administrator has set Details of User/Group option to display, the link is displayed.

Switch between "Day", "Week", "Month" screen.
When you press each icon, the user's schedule for "Day", "Week", "Month" respectively is displayed.
* "No access rights" is displayed if you have no permission to view.

You can send Whereabouts message, email or direct message to a user.

* The email icon is displayed if email address is set to the user.
* To use this feature, setup Email Address Link option in Design Settings. When you double click a contact, the detail of contact screen is displayed.

Add an event.
When you press the area you selected, Add Event screen is displayed.

Narrow down to users and group.
When you check a box beside of the user or group field, a message is displayed above the date (day of week).
* Some events are not displayed if you do not have the rights to access them.
To Drag And Drop to Move DatesYou can move the date of events by dragging and dropping the event box on a calendar.
Click the event, drag to the new date, and release your mouse, and the event is moved.
* When the [Update using drag & drop] setting in Personal Settings > Display Settings and System Management > General Settings is set to "No", you cannot update an Event using drag & drop.
Task update using drag & drop
You can move the time of ToDo Task by dragging and dropping it on the calendar.
Press and hold down the mouse button over a Task and move it to other day to change the day.
* When the "Update using drag & drop" setting in [Personal Settings > Display Settings] and [System Management > General Settings] is set to "No", you cannot update a Task using drag & drop.

Task update using drag & drop

To Select Time of Events

Screens that display the "+" and "-" can enlarge or shrink the schedule.
You can enlarge or shrink to 100%, 200%, or 300% scaling factor.

To Add Event
When you press an area of the event displaying field in "Group/Day", "Group/Week", "Day", "Week" or "Month" screen, the are is colored and selected.
When you press the selected area again, Add Event screen is displayed. If the date and time was obtained, they are set to the event.
About Buttons

Select Facilities.
When you click Facilities, Facilities window is displayed.
Check availability or free time and select facilities you want to reserve with the event.
Please refer to To Reserve Facilities with Event for more details.

Click the icon to display Web Conference dialog.
Select a web-conferencing facility from the dialog.

If you want to add the same event to other users, select users.
When you press Users, Select User window is displayed.
Select users you want to add the event.

* Users whom you do not have "Add" access right cannot be selected.

Setup the recurring event.
When you press Recurring Event, Recurring Event window is displayed.
You can add recurring events such as regular meeting, which is held on the same time and location.

Setup the irregular event.
You can add the same event on several days by selecting multiple date.
When you press Irregular Event, Irregular Event window is displayed.
Select dates you want to add the event.
Please refer to To Setup Irregular Event for more details.

Set approval request.
When you add the event to other users, you can request for approval of the event.
A user who is requested for approval the event approves or disapproves in the detail of the event screen.
If the user approved the event, the event remains, if disapproved, the event is deleted.
* If you are not participated in the event, you cannot request for approval.

Attach files to the event.
When you press the button, Attachment File window is displayed. Choose files you want to attach.

Set a reminder.
When you press Reminder, Reminder window is displayed.
Choose when you want to send a reminder.
* The reminder is sent to the email address that is selected in your profile.
* If you are not participated in the event, you cannot set a reminder.

Set visitors.
If people from outside are participated in the event such as a meeting, set visitors.
When you press Visitors, Visitors window is displayed.
Enter contact information, reception room, facilities, remarks, company names and names.
* Visitors information is linked to Visitor application.

When you press Event Color, you can choose any one of 12 types, 6 colors (Border only, Filled).

When you press Sticky note button, you can copy the information to a Sticky note.
Please refer to the explanation of Sticky Note for more details.
* If you are not participated in the event, you cannot use Sticky Note.

When you click Icon, Icon window is displayed.
Select an icon you want to set the event.
The "Trans/Expense" button appears when the Transportation/Expense features are enabled by the system administrator.

Adding Event

Enter a start and end date/time.
* For a recurring or an irregular event, the start time after the end time is accepted.
* If you check "All Day", you cannot select the time.

Enter and/or select an event.
You can select one from event items which you and the Facility Reservation application administrators have setup.
* If you select an event item, its color will be assigned to the event.

Enter and/or select a location.
You can choose any one of location items which you and the Schedule application administrators have setup.

Enter details of the event.
-
Select icons put the event as option.

Users who participated in the event are displayed.
When you press "Select" button, Select User window is displayed.

Choose the notification options.
* Default value is determined by setting value of "Notification" in "Personal Settings" - "Display Settings" or "System Management" - "General Settings".

Select recipients.
* This field appears only when "Allow" is selected in "Add Access Limited Event" in "System Management" - "General Settings".

Click "Add" button to save and add the data.
To Reserve Facilities
When you press Facilities in Add Event screen, Facilities window is displayed.
You can search and reserve facilities for the event.
- To Find Free Time and Select
Find facilities which are free from the start date/time to end date/time.

The date/time of event is displayed.
-
Switch between Find Free Time and Check Availability.
-
Choose a facility group to be searched.
Choose a facility group which facilities are categorized.
If you choose (All That Can Be Added), all facilities are searched in.

Find free time.
When you press [Find Free Time] button, facilities which are free for the date/time in the facility group you selected.

The search results of Find Free Time are displayed.
Facilities that matched with the conditions are displayed. Facilities you selected are set to the event.
You can select more than one facility.
When you hover the mouse pointer over a facility, the details of the facility are displayed.
- To Check Availability And Select
Check the start date to end date of the event and availability of each facility and select facilities.

The date/time of event is displayed.

Switch between Find Free Time and Check Availability.

Choose a facility group.
Facilities in the facility group you selected are displayed in the list.
If you choose (All), all facilities are displayed.

Choose a Date.
Change the date to be displayed.

The list of facilities is displayed.
The periods already reserved are displayed "hatched".
When you press a "hatched" area, the event scheduled in the period is displayed.
The period of the event is displayed in yellow. When you check a facility you want to reserve, the yellow area becomes gray.
After the selection is complete, when you press "OK" button, the facilities are set to the event.
- Event Window
When you press a "hatched" area, the event scheduled in the period is displayed.
- Selection Facility with Committed Reservation Option
The message appears in the entry screen and the tentative option is checked.
To Add Event to Other Users
When you press "Users" in Add Event screen, Select Users window is displayed.
Select users/groups to whom you want to add the same event.
* You cannot add the event to users/groups whom you do not have the "Add" permission for.
In the selection screen, you can select users/groups while checking their scheduled events.

Choose a Date.
Change the date to be displayed.

The list of users is displayed.
The periods already reserved are displayed "hatched".
When you press a "hatched" area, the event scheduled in the period is displayed.
The period of the event is displayed in yellow.
You can select users while checking the users' events to avoid to overlap the event with others.
After the selection is complete, when you press "OK" button, the users are set to the event.
- Event Window
When you press a "hatched" area, the event scheduled in the period is displayed.
To Assign Recipients of Events
Click the link of "Recipients" in "Add Event" screen, and Recipients setting selection will appear.
With this setting you can permit only users of Recipients to access the event.
"'Users' Only" works in the same feature as "Secret" of V2 and earlier versions. (The "Secret" option has been obsoleted due to the new "Recipients" feature.)
* This field appears only when "Allow" is selected in "Add Access Limited Event" in "System Management" - "General Settings".
* If "Unreadable by Anyone" is enabled in "Add Access Limited Event" in "System Management" - "General Settings", even a system administrator or an application administrator cannot access to event data unless they have been selected as a Recipient.
To Setup Recurring Event
When you press Recurring Event, Recurring Event window is displayed.
You can add recurring events such as regular meeting, which is held on the same time and location.
Repeating Interval of the event can be set daily, weekly, monthly and yearly.
- Recurring Daily

Set Interval Setting.
You can choose any one of Daily, Weekly, Monthly, Yearly.
When you choose the setting, items to be set are changed according to the selection.

Choose Repeating Interval.
Choose any one Every 1 Week to Every 15 Weeks.

When you press the entry field, a calendar screen is displayed. Click a date on the calendar, and it will be set to the field.
* Enter a date in MM/dd/yyyy format, numeric.

Choose End of recurring.
You can choose either Repeat Count or Date.
When you choose Repeat Count, enter number of counts.
When you choose Date, the event is recurring with interval set in "Repeating Interval" on the days of week selected until the end date.
* If you choose Repeat Count, the event is created in "the number of events" rather than the number of weeks.
- Recurring Monthly

You can choose any one of Daily, Weekly, Monthly, Yearly.
When you choose the setting, items to be set are changed according to the selection.

Choose any one of Every 1 Month to Every 15 Months.

Choose Repeat Basis.
When you choose Date, the start date of the event is used as repeat basis.
When you choose a day of week, the 1st/2nd/3rd/4th/Last day of week is as repeat basis.
* If the first recurring date set by the day of week setting is before the start date, the recurring is started next month.

When you press the entry field, a calendar screen is displayed. Click a date on the calendar, and it will be set to the field.
* Enter a date in MM/dd/yyyy format, numeric.

Choose End of recurring.
You can choose either Repeat Count or Date.
When you choose Repeat Count, enter number of counts.
When you choose Date, the event is recurring with interval set in "Repeat Basis" until the end date.
- Recurring Yearly
When you press "OK" button, the recurring event is set.
When the recurring event has been set, Date/Time field becomes Recurring Event and the recurring setting is displayed in the link.
When you press the link, Recurring Event window is displayed.
To Setup Irregular Event
When you press Irregular Event, Irregular Event window is displayed.
You can add the same event on several days by selecting multiple date.

Change the period of the calendar.
: Display 1 Month before.
: Display from this month.
: 1 Month after.

The calendar to select date is displayed.
Select dates on which the event is scheduled.
When you press a date, the date is added.

The dates you selected are displayed.
The date you selected on the calendar is displayed.
When you press "X" button, the date is removed.
When you press "OK" button, the irregular event is set.
When the irregular event has been set, Date/Time field becomes Irregular Event and the number of events is displayed in the link.
When you press the link, Irregular Event window is displayed.
To Create Approval Request Event
When you press Approval Request, an Approval Request window is displayed.
When you add the event to other users, you can request for approval of the event.
When you press "OK" button, the irregular event is set.
To Check Details of Event
When you press an event in "Group/Day", "Group/Week", "Day", "Week" and "Month" screen, the part of the event information is displayed in balloon.
* If you do not have "Read" access right to the owner of an event, registrant of an event, participated users, these events are not displayed.
When you press the link of Detail of Event, Details of Event screen is displayed.
If you want to edit an event, use this screen.

Display Update Event screen.
* If Editing or Deleting Events option in "System Management" - "General Settings" is set to "Allow Only Owner", the users who match the following conditions can update the event.
- The owner of the event.
- Users who have update access right to all participating users and the facilities added to the event.
* If Editing or Deleting Events option in "System Management" - "General Settings" is set to "Allow Anyone Who Are Added to The Event", the users who match the following conditions can update the event.
- The owner of the event.
- Users who are participating in the event.
- Users who have update access right to all participating users and the facilities added to the event.

Copy the event displaying and display Add Event screen.

Delete the event.
* If Editing or Deleting Events option in "System Management" - "General Settings" is set to "Allow Only Owner", the users who match the following conditions can delete the event.
- The owner of the event.
- Users who have delete access right to all participating users and the facilities added to the event.
* If Editing or Deleting Events option in "System Management" - "General Settings" is set to "Allow Anyone Who Are Added to The Event", the users who match the following conditions can delete the event.
- The owner of the event.
- Users who are participating in the event.
- Users who have delete access right to all participating users and the facilities added to the event.

Create minutes.
Click minute button to create new minute which is linked to a corresponding event.

Set a reminder.
When you press Reminder, Reminder window is displayed. Choose when you want to send a reminder.
* The reminder is sent to the email address that is selected in your profile.
* If you are not participated in the event, you cannot set a reminder.

When you press Sticky note button, you can copy the information to a Sticky note.
Please refer to the explanation of Sticky Note for more details.
* If you are not participated in the event, you cannot use Sticky Note.

When you press Cabinet button, you can copy the information to a file in Cabinet.
The following contents will be added to Cabinet:
- Event name will be added to "Title".
- Details of an event.
- Attached files added in an event will be added to "Attachment Files".

Email composing screen will be opened in a new window.
The following information will be automatically filled in a compose mail screen.
- Event name will be added to "Title".
- Event contents, date and place will be added to mail body.
- Attached files added in an event will be added to "Attachment Files".
* Email composing screen is depends on the settings set up in Personal Settings > Design Settings.

- When Approval Is Requested
If the event that approval is requested, "Approve" and "Disapprove" button are displayed in the detail of the event screen.
- When Minutes Is Set
If minutes are set to an event, the link of Details of Minutes is displayed in the balloon.

When you press the link of Details of Minutes, Details of Minutes screen is displayed.
- When Due Is Set
If the due of a task is set, the task is displayed in the balloon.

Here you can see the details of the task.

Displays the [Add Task] screen that copies the content of the task.

To Update Event
When you press "Update Event" button in Detail of Event, Update Event screen is displayed.
In addition, you can display Update Event screen by pressing two times quickly over an area of the event displaying field.
* If Editing or Deleting Events option in "System Management" - "General Settings" is set to "Allow Only Owner", the users who match the following conditions can update the event.
- The owner of the event.
- Users who have update access right to all participating users and the facilities added to the event.
* If Editing or Deleting Events option in "System Management" - "General Settings" is set to "Allow Anyone Who Are Added to The Event", the users who match the following conditions can update the event.
- The owner of the event.
- Users who are participating in the event.
- Users who have update access right to all participating users and the facilities added to the event.
You can edit any items as you can do on Add Event screen.
- In the case of the event is a recurring event or irregular event
The Date/Time field is replaced by the dedicated field.
If you want to change the recurring/irregular setting, press the link of the setting after the date field.
When you press the link, Recurring/Irregular Event window is displayed.
To unselect an attachment file, click "x" before the file name.
Other things are the same as Add Event screen.
Click "Update" button to save the changes.
* If you edit a recurring event or irregular event and press "Update", a confirmation window is displayed.
In the confirmation window, you can choose the period of the event you update.
- Confirmation Window for Updating Recurring/Irregular Event
To Delete Event
When you press "Delete" button in Detail of Event or Update Event screen, or the link of Delete in the balloon, a confirmation window is displayed.
The message of the confirmation window may differ by user.
* If Editing or Deleting Events option in "System Management" - "General Settings" is set to "Allow Only Owner", the users who match the following conditions can delete the event.
- The owner of the event.
- Users who have delete access right to all participating users and the facilities added to the event.
* If Editing or Deleting Events option in "System Management" - "General Settings" is set to "Allow Anyone Who Are Added to The Event", the users who match the following conditions can delete the event.
- The owner of the event.
- Users who are participating in the event.
- Users who have delete access right to all participating users and the facilities added to the event.
- Regular Confirmation Window
This type of confirmation window is displayed in the case of following.
- Delete Target Confirmation Window
This type of confirmation window is displayed, if the user is participated in the event (who has "Delete" right to all the users and facilities).
* Clicking the "Delete" button in the Update Event screen will display regular confirmation window.
When the user presses "OK" button, the event is deleted. The deleted events cannot be recovered. Please take note.
- Confirmation Window for Non-Owner Deletes Event
This type of confirmation window is displayed, if the user is not participated in the event (who has "Delete" right to all the users and facilities).
When the user presses "Yes" button, the event will be deleted. The deleted events cannot be recovered. Please take note.
* Clicking the "Delete" button in the Update Event screen will display regular confirmation window.
- Confirmation Window for Recurring/Irregular Event
This type of confirmation window is displayed, if the event is recurring/irregular event.
When the user presses "Yes" button, the event will be deleted. The deleted events cannot be recovered. Please take note.
* If the user is not participated in the event (who has "Delete" right to all the users and facilities),
The following confirmation window (Delete Target Confirmation Window) is displayed prior to displaying Confirmation Window for Recurring/Irregular Event.
- Delete Target Confirmation Window
* Only the event for myself: Only the user's event is deleted.
* This window is not displayed when you clicked "Delete" button in Update Event screen.
To Notify Events Deletion
If a user who delete an event sets Notification When Deleting option to "Use", additional input fields appear to send a notification.
A notification is sent to users who are participated in the event.
* You can set Notification When Deleting option by Delete Events Notification Settings in Personal Settings.
* Even if you set Notification When Deleting option to "Use", the input fields may not be displayed because of the settings by the administrator.

Choose how to notify the deletion.
Email: Send a notification by email.
Whereabouts Message: Send a notification by Whereabouts Message.
Do Not Notify Me: Send a notification to the users other than you.
* Default value is determined by setting value of "Notification" in "Personal Settings" - "Display Settings" or "System Management" - "General Settings".
* If Email Notification option is set to "Do Not Use" by the administrator, Email option is not displayed.
* If Whereabouts application is set to "Do Not Use", Whereabouts Message option is not displayed.
* If both Email and Whereabouts Message cannot be used, the input fields is not displayed.

Enter message.
When you press "Yes" button, a notification is sent and the event is deleted. The deleted events cannot be recovered. Please take note.
* The input fields are displayed in each delete confirmation window.

To Search Schedule
When you open the menu on the left side of screen, the schedule search function appears.
You can find events by entering the conditions, such as keyword, option, period.
To Use Convenience Tools
When you open the menu on the left side of screen, you can use convenience tools dedicated for Schedule.
The tools include Find Free Time, List View, Printable View, Import from CSV File, Export to CSV File.

Display events of the selected user(s)/facility(ies).
Click the link, a daily/weekly schedule showing the events of the selected user(s)/facility(ies) is displayed.

You can browse events in list view.
You can choose either weekly or monthly.

Display events in printable view, new window.
You can choose either weekly or monthly.

You can import multiple events at once from a file (Import).
When you press the link ,CSV Import screen is displayed.

You can save events to a file (Export).
When you press the link ,CSV Export screen is displayed.

To Find Free Time of Users and Facilities
When you open the menu on the left side of screen, Find Free Time is available.
You can find free time of users and facilities with the condition such as users, facilities, period.
If you want to add an event which is using facilities to several users, you can find free time of both the users and facilities.
When you press "Search" button, events that match the search criteria are displayed in the list screen.

Change the period of schedule.
: Schedule started one week before is displayed.
: Schedule started one day before is displayed.
: Schedule started today is displayed.
: Schedule started one day after is displayed.

Free time displayed.
Here you can see available time of the selected users and facilities.
"Scheduled" indicates that any of the selected users already has an event.
Time spans filled with light blue are not available because they have been already reserved or have a certain limit.
Click a empty cell, and it will be selected and highlighted.
Click the cell again, and you can move to "Add Event" screen where the selected users, facilities, and time span are assigned.
To Drag to Select Time of EventsDragging the mouse, you can select a time span where events are assigned to.
Click a cell and drag the mouse, the selected and highlighted time span changes.
Then release the mouse button, and you will move to "Add Event" screen where the selected users, facilities, and time span are assigned.
If any of the selected facilities is not available at the time, a confirmation window shown below will appear.
- At least one facility is not available at the time
The confirmation window shows available facilities of all of the selected ones.
Click "Yes" to move to "Add Event" screen where the selected users, shown facilities, and the selected time span are assigned.
- No facility is available at the time
The warning window says that all of the selected facilities are not available at the selected time.
* If all of the selected facilities are not available, you cannot move to "Add Event" screen. Select other ones.
To Display Schedule of Selected User(s)/Facility(ies)
"Events Selected (Day/Week)" is one of Convenience Tools which is displayed when the menu on the left side of the screen is open.
When you press the link of Day or Week, the schedule of the selected user(s)/facilitiy(ies) events is displayed.

To Browse List View
List View (Weekly/Monthly) is one of Convenience Tools which is displayed when the menu on the left side of the screen is open.
When you press Weekly or Monthly, the list of events from the date of schedule being displayed for 1 week, 1 month respectively is displayed.
* If you select all, you cannot delete recurring and irregular events. Please delete the events individually.

You can select the period of the displayed Week Schedule.
The displayed button will depend on the "First day of the weekly calendar" setting in [Personal Settings > Display Settings] and [System Management > General Settings].
- When you select "Current Date", the following buttons are displayed.
: Schedule started one week before is displayed.
: Schedule started one day before is displayed.
: Schedule started today is displayed.
: Schedule started one day after is displayed.
: Schedule started one week after is displayed.
- When you select other than "Current Date", the following buttons are displayed.
: Schedule started one week before is displayed.
: Display the Schedule of one week starting with the day set in "First day of the weekly calendar".
: Schedule started one week after is displayed.
To Print Events List
Printable View is one of Convenience Tools which is displayed when the menu on the left side of the screen is open.
When you press Weekly or Monthly, the list of events from the date of schedule being displayed for 1 week, 1 month respectively is displayed.
To Add Events from File (Import)
Import from CSV File is one of Convenience Tools which is displayed when the menu on the left side of the screen is open.
When you press the link of Import from CSV File, Import from CSV File screen is displayed.
You can add events from a file in one batch.
After all entries are completed, when you press "Import" button, importing events is started.
* Updating irregular or recurring events will exclude the date from the original irregular or recurring events and create a new event.
To Save Events to File (Export)
Export to CSV File is one of Convenience Tools which is displayed when the menu on the left side of the screen is open.
When you press the link of Export to CSV File, Export to CSV File screen is displayed.
You can save events data to a file.

Specify the period of events data to be saved to a file.
When you press the entry field, a calendar screen is displayed. Click a date on the calendar, and it will be set to the field.
* Enter a date in MM/dd/yyyy format, numeric.

The fields of an event to be saved are displayed. You can change the order of the fields.
* Press and hold down the mouse button over a field name and move the mouse up and down and release the mouse button on desired place to change the order.

Events which the selected users are scheduled are saved.
When you press "Select" button, Select User window is displayed.
