Adding Document

Step 1. Click
Click [Add New Document] in the document list.


Step 2. Enter or Specify the Information

Field Description
Status If you choose "Completed", the document you added will be browsable. If you choose "Being Updated", the document will be locked.
Title Enter the title of the document.
Folder Choose a folder you want to add the document.
Comment Enter a comment.
File Click [Browse] button to choose the file you want to add. Click the name of file to open the file.
Access Rights Settings You can grant the access rights to the document.
Storage Period Specify until when you want to keep the document.

Step 3. Select the Users You Want to Grant Access Rights
Choose the groups or users you want to grant the access rights and add them to [Access Rights and E-mail Notification - Applicants].

Button Description
You can select groups and users from the list and then click [Delete] button to delete the users and groups from the list.

The access rights can be granted to only the users and groups which are displayed in [Grantable Rights]. The users and groups which are not displayed in [Grantable Rights] field cannot be displayed in [Users Who Are Granted] even if you selected the users or groups.
Step 4. Grant Access Rights
Grant the access rights to the users and groups in [Users Who Are Granted].
Choose the groups or users from the list and click button of [Browse], [Add], [Edit] or [Delete]. Click the button again to cancel.

Browse
When the browse right is set and you click this button, the right to browse will be cancelled and the user will be deleted from the list.
Edit
When the edit right is not set and you click this button, the right to edit will be set.
When the edit right is set and you click this button, the right to edit will be cancelled.
Delete
When the delete right is not set and you click this button, the right to delete will be set.
When the delete right is set and you click this button, the right to delete will be cancelled.
* If the right to browse is not set, the rights to edit and delete cannot be set. If the right to browse is cancelled, the user or group will be automatically deleted from [Access Rights and E-mail Notification - Applicants].
Step 5. Click .
Click this button to create the document. The document will be displayed in the document list.
* E-mail Notification When a Document Is Added
When a document is added or updated in a folder which the notification option is set, notification message is sent to the recipients.


Note
The owner of documents can browse, add, edit and delete regardless of the access rights.
Other users can use the document according to the access right.
