Safety Confirmation

There are following four major functions in the application management of Safety Confirmation.

- Manage emergency contact of users
- Send safety confirmation email, Confirm safety status
- Create disaster preparedness
- Set anti-disaster managers

* Administrators and users who are assigned to the Safety Confirmation application administrator can use these functions.
* Users who are assigned to the anti-disaster manager can use the application management functions only for groups specified.
(Some functionality is limited to general users who are assigned to the anti-disaster manager)

To Display Safety Confirmation List


When you press the link of Safety Confirmation Management in Settings menu, Safety Confirmation List screen is displayed.
You can check safety status of each user, confirm and add emergency contact of each user, re-send a confirmation message to non-respondents.
You can also download and save safety status to a CSV file.
* General users who are assigned to the anti-disaster manager can also use the function.





To Edit Emergency Contact


When you press a link of Name, a window to enter emergency contact information is displayed.
* General users who are assigned to the anti-disaster manager cannot view emergency contact information of users belonging to a group other than the managed group by the manager.




When the entry is complete, press "OK" button to save the data.


To Resend to Unconfirmed Users


When you press "Resend to Unconfirmed Users" button in Safety Confirmation List, a confirmation window to resend.



A safety status confirmation email is sent to users who belong to the group displaying in Safety Confirmation List and have not responded to the safety status confirmation email you have sent.
* Unconfirmed users are users who have not responded to a safety status confirmation email. (If there is a user who has accessed to the confirmation screen but has not reported, the email is sent to the users.)

When you press "OK" button, a safety status confirmation email is sent.


To Clear Safety Status


When you press "Clear Safety Status" button in Safety Confirmation List, a confirmation window to clear statuses is displayed.



When you press "OK" button, statuses of users in the group displaying in Safety Confirmation List.


To Deliver Safety Confirmation Mass Email


When you press the link of Email Delivery of Safety Confirmation, Safety Confirmation Mass Email Delivery screen is displayed.
Safety Confirmation Mass Email is sent to users belonging to the groups (include subordinate) you selected.
You can choose and send either Safety Confirmation Email or Deliver Disaster Drill.
* General users who are assigned to the anti-disaster manager can also use the function.




When you press "Deliver" button, the safety confirmation email is sent to users who belonging to the group you selected and the subordinates.


To Notify Announcements


When you press the link of Anti Disaster Settings > Announcement Settings in Settings menu, or Announcement Settings tab in Safety Confirmation Management screen, Announcement Settings screen is displayed.
Use this function to notify announcements of such as instructions, operation status of transportation to users when disaster occurs.
* The announcements you posted are displayed in Disaster Information screen and announcements of Neotwi.
* General users who are assigned to the anti-disaster manager can also use the function.





To Add Emergency Contact When Disaster Occurs


When you press the link of Anti Disaster Settings > Disaster Protection Settings in Settings menu, Disaster Protection Settings screen is displayed.
The content you entered in Disaster Information "Emergency Contact" in Disaster Protection Settings screen is displayed in Emergency Contact During Disaster field of Disaster Information tab.
* General users who are assigned to the anti-disaster manager can also edit the content.




Click "Update" button to save the changes.


To Add Links Used When Disaster Occurs


When you press the link of Anti Disaster Settings > Disaster Protection Settings in Settings menu, Disaster Protection Settings screen is displayed.
The content you entered in Disaster Preparedness "Link" in Disaster Protection Settings screen is displayed in Link field of Disaster Preparedness tab.
* General users who are assigned to the anti-disaster manager can also use the function.




Click "Update" button to save the changes.

e.g. If you want to add a link to a disaster prevention information page, such as a local government is providing.
City of XX Disaster Prevention Information (http://example.com/disaster-prevention/)



To Display List of Evacuation Routes


When you press the link of Anti Disaster Settings > Evacuation Route Settings in Settings menu, Evacuation Route Settings screen is displayed.
Setup routes which are displayed in Designated Refuge by Company filed in Disaster Information screen and Returning Home Route field in Disaster Preparedness screen.
* General users who are assigned to the anti-disaster manager can also use the function.





To Add Evacuation Route


When you press "Add Evacuation Route" in the list of evacuation routes screen, Add Evacuation Route screen is displayed.




- In the Case of Google


When the entry is complete, press "Add" button to save the data.


To Edit Evacuation Route


When you press a link of Evacuation Route in the list of evacuation routes screen, Edit Evacuation Route screen is displayed.



Click "Update" button to save the changes.


To Delete Evacuation Routes


When you press "Delete" button file in the list of evacuation routes or Edit Evacuation Route screen, a confirmation window is displayed.
When you press "Yes" button, the evacuation routes are deleted. The evacuation routes will be permanently deleted and cannot be recovered. Please take note.


To Edit Email Delivery Content


When you press the link of Anti Disaster Settings > Email Message Settings in Settings menu, Email Message Settings screen is displayed.
You can edit subjects and messages of emails which are sent from Safety Confirmation application.
* General users who are assigned to the anti-disaster manager can also use the function.

Click "Update" button to save the changes.


To Check Setting Statuses of Users' Emergency Contacts


When you press the link of Emergency Contact Settings > Setting Status in Settings menu, Setting Status screen is displayed.
You can check the setting status of and edit each user's emergency contact.
You can also send an email to prompt users to register their emergency contact.
* General users who are assigned to the anti-disaster manager can also use the function.





To Send Email to Users to Prompt to Register Emergency Contact


When you press "Deliver Setting Confirmation Mass Email" button in Setting Status, Deliver Setting Confirmation Mass Email screen is displayed.
Emergency Contact Setting Confirmation Mass Email is sent to users belonging to the groups (include subordinate) you selected.
* General users who are assigned to the anti-disaster manager can also use the function.




When you press "Deliver" button, Emergency Contact Setting Confirmation Email is sent to email addresses that are specified as the recipient of email notification in Profile of each user.
* If you select more than one group and send the email, a user belonging to more than one group receives only one email.
Multiple emails (number of groups belonging) are not sent to a user per delivery.


To Grasp Status of Confirmation of Emergency Contact


When you press the link of Emergency Contact Settings > Confirmation Email Delivery in Settings menu, Confirmation Email Delivery screen is displayed.
You can check the results of Confirmation Email Delivery.
* General users who are assigned to the anti-disaster manager can also use the function.





To Send Emergency Contact Confirmation Mass Email


When you press "Deliver Contact Confirmation Mass Email" button in Confirmation Email Delivery screen, Deliver Emergency Contact Confirmation Mass Email screen is displayed.
Emergency Contact Confirmation Mass Email to confirm that the email is received normally is sent to users belonging to the groups (include subordinate) you selected.
* General users who are assigned to the anti-disaster manager can also use the function.




When you press "Deliver" button, Emergency Contact Confirmation Mass Email is sent to users belonging to the groups (include subordinate) you selected.
* If you select more than one group and send the email, a user belonging to more than one group receives only one email.
Multiple emails (number of groups belonging) are not sent to a user per delivery.


To Add Emergency Contacts from File (Import)


When you press the link of Emergency Contact Settings > Import Emergency Contacts in Settings menu, Import Emergency Contacts screen is displayed.
You can add emergency contacts from a file in one batch.
* General users who are assigned to the anti-disaster manager can also use the function.




When you press "Import" button, importing emergency contacts is started.


To Setup Anti-Disaster Managers


When you press the link of Anti-Disaster Manager in Settings menu, Anti Disaster Manager screen is displayed.
Grant general users administrative rights with limited managed groups for Safety Confirmation application.
