Safety Confirmation

To Display Safety Confirmation List

When you press the link of Safety Confirmation Management in Settings menu, Safety Confirmation List screen is displayed.
You can check safety status of each user, confirm and add emergency contact of each user, re-send a confirmation message to non-respondents.
You can also download and save safety status to a CSV file.

* General users who are assigned to the anti-disaster manager can also use the function.

Download safety status to a CSV file.
Display Safety Confirmation Mass Email Delivery screen.
Users who belong to the group you selected are displayed in Safety Confirmation List.
When you press "Select Group" button, Group Selection window is displayed.
The summary of safety statuses is displayed.
When you press one of "All", "Unconfirmed", "Confirmed", Alright, Slightly Injured, Severely Injured, Safety Confirmation List is narrowed down for each status.
Enter keywords.
The search function searches in "Name" of users being displaying in Safety Confirmation List.

If you want to specify more than one keyword, use space to separate keywords.
Specifying multiple keywords will perform "OR" search. This means the search results contain either one or more keywords that you specified.
The list of users' safety status is displayed.
When you press a link of Name, a windows to enter emergency contact information is displayed.
When you press a link of # of Reports, safety status the user reported is displayed.

* General users who are assigned to the anti-disaster manager cannot view emergency contact information of users belonging to a group other than the managed group by the manager.
Send a safety status confirmation email to users who have not confirmed.
When you press "Resend to Unconfirmed Users" button, Resend to Unconfirmed Users window is displayed. Please refer to
To Resend to Unconfirmed Users for more details.

Clear all the safety confirmation status in the list.
When you press "Clear Safety Status" button, a confirmation window is displayed.

To Edit Emergency Contact

When you press a link of Name, a window to enter emergency contact information is displayed.

* General users who are assigned to the anti-disaster manager cannot view emergency contact information of users belonging to a group other than the managed group by the manager.

The user name is displayed.
Enter an email address.

* You can enter multiple email addresses separated by ",".
* Email addresses and a telephone No. specified as emergency contact information are not open to public.
Enter a telephone number.

When the entry is complete, press "OK" button to save the data.

To Resend to Unconfirmed Users

When you press "Resend to Unconfirmed Users" button in Safety Confirmation List, a confirmation window to resend.

A safety status confirmation email is sent to users who belong to the group displaying in Safety Confirmation List and have not responded to the safety status confirmation email you have sent.

* Unconfirmed users are users who have not responded to a safety status confirmation email. (If there is a user who has accessed to the confirmation screen but has not reported, the email is sent to the users.)

When you press "OK" button, a safety status confirmation email is sent.

To Clear Safety Status

When you press "Clear Safety Status" button in Safety Confirmation List, a confirmation window to clear statuses is displayed.

When you press "OK" button, statuses of users in the group displaying in Safety Confirmation List.

To Deliver Safety Confirmation Mass Email

When you press the link of Email Delivery of Safety Confirmation, Safety Confirmation Mass Email Delivery screen is displayed.
Safety Confirmation Mass Email is sent to users belonging to the groups (include subordinate) you selected.
You can choose and send either Safety Confirmation Email or Deliver Disaster Drill.

* General users who are assigned to the anti-disaster manager can also use the function.

Choose a type of email.
Deliver Safety Confirmation Email : Choose this when a disaster occurs and you want to check the status of the safety of employees.
Deliver Disaster Drill Email : Choose this if you want to send Disaster Drill email.
If the checkbox is checked, safety status of all users of the selected groups will be cleared before the new safety confirmation email are send.
* If you want to clear all safety status of users that belong multiple groups, check the checkbox and send the safety confirmation email.
Groups you selected and groups in the group are displayed.
When you press "Select Group" button, Group Selection window is displayed.

* "Select Group" button is not displayed for users who are assigned to the anti-disaster manager.
The list of groups to be sent the email is displayed.
The list of groups in the group you selected is displayed.

* Only groups which are selected as the managed group are displayed for general users who are assigned to the anti-disaster manager.

When you press "Deliver" button, the safety confirmation email is sent to users who belonging to the group you selected and the subordinates.

To Notify Announcements

When you press the link of Anti Disaster Settings > Announcement Settings in Settings menu, or Announcement Settings tab in Safety Confirmation Management screen, Announcement Settings screen is displayed.
Use this function to notify announcements of such as instructions, operation status of transportation to users when disaster occurs.

* The announcements you posted are displayed in Disaster Information screen and announcements of Neotwi.
* General users who are assigned to the anti-disaster manager can also use the function.

Enter an announcement you want to notify.
Post the announcement you entered.
A name of the user and group are added with the announcement.
Delete announcements
Select announcements from the list and press this button to delete them.
Delete all announcements.
All announcements will be deleted.
Announcements are displayed.
Announcements are displayed in the descending order of posted date (newly posted order).
A poster name, group and an announcement are displayed.

To Add Emergency Contact When Disaster Occurs

When you press the link of Anti Disaster Settings > Disaster Protection Settings in Settings menu, Disaster Protection Settings screen is displayed.
The content you entered in Disaster Information "Emergency Contact" in Disaster Protection Settings screen is displayed in Emergency Contact During Disaster field of Disaster Information tab.

* General users who are assigned to the anti-disaster manager can also edit the content.

Edit Disaster Information "Emergency Contact".
The content you entered is displayed in Emergency Contact During Disaster field of Disaster Information tab.
You can use text decoration and images freely.

Click "Update" button to save the changes.

To Add Links Used When Disaster Occurs

When you press the link of Anti Disaster Settings > Disaster Protection Settings in Settings menu, Disaster Protection Settings screen is displayed.
The content you entered in Disaster Preparedness "Link" in Disaster Protection Settings screen is displayed in Link field of Disaster Preparedness tab.

* General users who are assigned to the anti-disaster manager can also use the function.

Edit Disaster Preparedness "Link".
The content you entered is displayed in Link field of Disaster Preparedness tab.
You can use text decoration and images freely.

Click "Update" button to save the changes.

- About Link Setting
e.g. If you want to add a link to a disaster prevention information page, such as a local government is providing.
City of XX Disaster Prevention Information (http://example.com/disaster-prevention/)

Enter "City of XX Disaster Prevention Information".
Select the text, "City of XX Disaster Prevention Information" by mouse.
Press "Insert/Edit Link" button on the upper right corner of the rich text editor. When you press "Insert/Edit Link" button, a window to edit a link is displayed.
* If no text or image is selected, "Insert/Edit Link" button cannot be used.
Enter a URL. (http://example.com/disaster-prevention/)
In target, choose an action when the target is clicked.
Open Link in the Same Window... The link is open in the same browser window currently used.
Open Link in a new Window... The link is open in a new browser window.
When the entry is complete, press "Insert" button to complete the setting.

To Display List of Evacuation Routes

When you press the link of Anti Disaster Settings > Evacuation Route Settings in Settings menu, Evacuation Route Settings screen is displayed.
Setup routes which are displayed in Designated Refuge by Company filed in Disaster Information screen and Returning Home Route field in Disaster Preparedness screen.

* General users who are assigned to the anti-disaster manager can also use the function.

Add an evacuation route.
Change the display order of evacuation routes you selected.
Choose purpose items on the list and then press "Change Display Order" button to switch the screen mode to Change Display Order mode.
In Change Display Order mode, choose the destination of the evacuation routes. You can move more than one evacuation route at once.

* Press and hold down the mouse button over the data you want to move and move the mouse and release the mouse button on desired place to change the display order.
Delete evacuation routes.
Select evacuation routes you want to delete and press this button to delete them. You can select more than one setting.
The list of evacuation routes is displayed.
When you press a link of Evacuation Route, Edit Evacuation Route screen is displayed.

To Add Evacuation Route

When you press "Add Evacuation Route" in the list of evacuation routes screen, Add Evacuation Route screen is displayed.

Enter an evacuation route name.
Choose a map to be used.
Enter a departure.
Enter a destination.
Enter an evacuation route URL.
If you enter the reserved words, the words can be replaced by the data you entered in Departure and Destination fields.
When you press "Display Evacuation Route" button, it connects to the URL.
* If you choose "Other" in Map To Be Used filed, the filed is displayed.

- In the Case of Google

When the entry is complete, press "Add" button to save the data.

To Edit Evacuation Route

When you press a link of Evacuation Route in the list of evacuation routes screen, Edit Evacuation Route screen is displayed.

Click "Update" button to save the changes.

To Delete Evacuation Routes

When you press "Delete" button file in the list of evacuation routes or Edit Evacuation Route screen, a confirmation window is displayed.
When you press "Yes" button, the evacuation routes are deleted. The evacuation routes will be permanently deleted and cannot be recovered. Please take note.

To Edit Email Delivery Content

When you press the link of Anti Disaster Settings > Email Message Settings in Settings menu, Email Message Settings screen is displayed.
You can edit subjects and messages of emails which are sent from Safety Confirmation application.

* General users who are assigned to the anti-disaster manager can also use the function.

The edit screen for Safety Confirmation Email is displayed.
The edit screen for Emergency Contact Confirmation Email is displayed.
The edit screen for Safety Confirmation Email (Disaster Drill) is displayed.

Description of Each Email

Safety Confirmation Email
The email is sent when "Deliver Safety Confirmation Email" is selected in Safety Confirmation Mass Email Delivery function.
The email is sent to email addresses registered as the emergency contact.
Recipients access to the URL described in the email and enter their safety status.
Emergency Contact Confirmation Email
The email is sent from Confirmation Email Delivery function.
The email is sent to email addresses registered as the emergency contact.
Recipients access to the URL described in the email and confirm that the email is received normally.
Safety Confirmation Email (Disaster Drill)
The email is sent when "Deliver Disaster Drill Email" is selected in Safety Confirmation Mass Email Delivery function.
The email is sent to email addresses registered as the emergency contact.
Recipients access to the URL described in the email and enter their safety status.
Emergency Contact Setting Confirmation Email
The email is sent from Setting Status of Emergency Contact Setting function.
The email is sent to email addresses registered users' profile.
Recipients access to the URL described in the email and enter their emergency contact information.

- To Edit Email Delivery Content

Enter a subject of the message.
Edit the message.
You can edit the beginning and end part of the message.

Click "Update" button to save the changes.

To Check Setting Statuses of Users' Emergency Contacts

When you press the link of Emergency Contact Settings > Setting Status in Settings menu, Setting Status screen is displayed.
You can check the setting status of and edit each user's emergency contact.
You can also send an email to prompt users to register their emergency contact.

* General users who are assigned to the anti-disaster manager can also use the function.

Deliver Emergency Contact Setting Confirmation Mass Email screen is displayed.
Please refer to To Send Email to Users to Prompt to Register Emergency Contact for more details.
Users who belong to the group you selected are displayed.
"Select Group" button is displayed if you are an application administrator or a system administrator.
When you press "Select Group" button, Group Selection window is displayed.

* General users who are assigned to the anti disaster manager can select groups which are selected as the managed group.
Users that match the condition are displayed (narrow down)
All, Already Setup, Not Yet Setup can be switched.
The list of setting statuses of users is displayed.
When you press a link of Name, a window to edit the emergency contact is displayed.

To Send Email to Users to Prompt to Register Emergency Contact

When you press "Deliver Setting Confirmation Mass Email" button in Setting Status, Deliver Setting Confirmation Mass Email screen is displayed.
Emergency Contact Setting Confirmation Mass Email is sent to users belonging to the groups (include subordinate) you selected.

* General users who are assigned to the anti-disaster manager can also use the function.

Groups you selected and groups in the group are displayed.
When you press "Select Group" button, Group Selection window is displayed.

* "Select Group" button is not displayed for users who are assigned to the anti-disaster manager.
The list of groups to be sent the email is displayed.
The list of groups in the group you selected is displayed.

* Only groups which are selected as the managed group are displayed for general users who are assigned to the anti-disaster manager.

When you press "Deliver" button, Emergency Contact Setting Confirmation Email is sent to email addresses that are specified as the recipient of email notification in Profile of each user.

* If you select more than one group and send the email, a user belonging to more than one group receives only one email.
Multiple emails (number of groups belonging) are not sent to a user per delivery.

To Grasp Status of Confirmation of Emergency Contact

When you press the link of Emergency Contact Settings > Confirmation Email Delivery in Settings menu, Confirmation Email Delivery screen is displayed.
You can check the results of Confirmation Email Delivery.

* General users who are assigned to the anti-disaster manager can also use the function.

Deliver Emergency Contact Confirmation Mass Email screen is displayed.

Resend the emergency contact confirmation email to unconfirmed users.
When you press "Resend to Unconfirmed Users" button, Resend to Unconfirmed Users window is displayed.

* If you have not sent the email, this button is not displayed.
Clear the emergency contact confirmation information for each user is the list.
When you press Clear Contact Confirmation button, a window to confirm the deletion is displayed.
* If you have not sent the email, this button is not displayed.
Users who belong to the group you selected are displayed.
"Select Group" button is displayed if you are an application administrator or a system administrator.
When you press "Select Group" button, Group Selection window is displayed.

* General users who are assigned to the anti disaster manager can select groups which are selected as the managed group.
The list summarizing statuses of confirmation of emergency contact.
When you press the link of All, Confirmed, Unconfirmed, users who match each condition are displayed.
Enter keywords.

To Send Emergency Contact Confirmation Mass Email

When you press "Deliver Contact Confirmation Mass Email" button in Confirmation Email Delivery screen, Deliver Emergency Contact Confirmation Mass Email screen is displayed.
Emergency Contact Confirmation Mass Email to confirm that the email is received normally is sent to users belonging to the groups (include subordinate) you selected.

* General users who are assigned to the anti-disaster manager can also use the function.

Groups you selected and groups in the group are displayed.
When you press "Select Group" button, Group Selection window is displayed.

* "Select Group" button is not displayed for users who are assigned to the anti-disaster manager.
The list of groups to be sent the email is displayed.
The list of groups in the group you selected is displayed.

* Only groups which are selected as the managed group are displayed for general users who are assigned to the anti-disaster manager.

When you press "Deliver" button, Emergency Contact Confirmation Mass Email is sent to users belonging to the groups (include subordinate) you selected.

To Add Emergency Contacts from File (Import)

When you press the link of Emergency Contact Settings > Import Emergency Contacts in Settings menu, Import Emergency Contacts screen is displayed.
You can add emergency contacts from a file in one batch.

* General users who are assigned to the anti-disaster manager can also use the function.

The fields of an emergency contacts are displayed. You can change the order of the fields to match the file format.

* Press and hold down the mouse button over a field name and move the mouse up and down and release the mouse button on desired place to change the order.
* You can find User ID in data file which can be exported from user information by Application Management of User Directory in Settings.
Choose a file. If you would like to ignore the first line, select the check box.
Choose a character encoding and delimiter of the file.
Press Change Settings link to change the character encoding and delimiter options.
Choose a character encoding.
Choose a delimiter.

When you press "Import" button, importing emergency contacts is started.

To Setup Anti-Disaster Managers

When you press the link of Anti-Disaster Manager in Settings menu, Anti Disaster Manager screen is displayed.
Grant general users administrative rights with limited managed groups for Safety Confirmation application.

Select users you want to appoint anti-disaster manager.
When you press "Select User" button, Select User window is displayed.
(For more details about user selection, please refer to Common Functions for All Screens > User/Group/Role Selection in User's Manual.)
Set managed group of the user.
When you press "Select Group" button, Group Selection window is displayed.

* If you select more than one user and set manage group, the same managed group is set to the users you selected.
Unselect user selection.
Unselect users you checked.
The list of the anti-disaster managers are displayed.

Click "Update" button to save the changes.
